We would like to thank you for the enrolment of your child and for giving us the opportunity to participate in what might be the most important journey in your child’s life. We believe the journey is as important as the destination and   we hope to make it as enjoyable as possible without compromising the outcomes.
It is our vision that every student at our Centre will be an open, honest and disciplined self-learner who is highly motivated to achieve his/her academic  goals. We believe that this vision becomes a reality earlier, if the students (and parents) adhere to our implementation procedures for the Ace learning programmes.  At Ace Learning Centre, the focus is on ‘learning’ more than on ‘teaching’. Students are encouraged to learn from their mistakes. Thus mistakes should be viewed as learning opportunities.  John Powell, an American Explorer has succinctly stated
“The only real mistake is the one from which we learn nothing.”
Learning from mistakes fosters independence. With encouragement and genuine praise and motivation, a student can be nurtured to develop good study habits from any age.
Whilst we encourage ‘learning’, we also appreciate that students need to be supported. At Ace Learning Centre this support is provided through a ratio of one staff to four students. Our staff are primarily selected, trained and monitored for the support they can provide in a learning environment. We ensure that they have the required proximity to the student and optimum time to provide individualised support to the student.
This Guide provides concrete suggestions for an effective implementation of Ace Learning Programmes. It also provides policies and procedures for the administration of the Centre. Please study the guide carefully to assist you to improve support to your child, and help you to derive maximum benefit from the Ace Learning Centre.

Ace Learning Centre


Ace Learning Centre aims to advance all students to their school grade level and beyond to realise their full potential. The Centre offers remedial to extension programmes in Mathematics and English such that students will enjoy and pursue further learning in both the core subjects. The overall objective is to encourage students to become independent self-learners for secondary school,  university studies and beyond. Ace Learning Centre offers affordable ‘learning’ programmes which are aligned to the Australian school curriculum. Students  follow individualised study plans which are designed to meet student-specific needs. This approach provides an excellent supplement to  group teaching in a school environment.  

Ace Learning Centre offers Mathematics and English programmes for Pre-school to Year 10 students. Students at Year 11 and Year 12 are offered VCE Maths subjects through tuitions. The Centre also conducts workshops for national and scholarship examinations. Maths workshops are offered in groups of 4 to 8 students for Years 7 to 11.
Ace Learning Centre is a Member of Australian Tutoring Association (ATA). It adheres to the ATA Code of Conduct as well as tutoring standards set by Standards Australia (details available from the Centre). The Centre complies with ‘Working with Children’ legislation and requirements.
     Main Features

School Curriculum: Carefully researched, selected and designed for self-learning, the programme content for each subject is aligned to the Australian school curriculum.
The Mathematics programme provides conceptual understanding of skills as well as the application of maths to real life situations through worded problems. Similarly, the English programme includes a strategic approach to reading and comprehension through multiple choice and short answer questions, creative writing and language conventions comprising grammar, punctuation, spelling and vocabulary. Students can benefit from the alignment of the programmes to the school curriculum. This results in a strong motivation to continue with the programme and improved performance at school. The programme for each subject is segmented into stages. Each stage corresponds approximately to a school grade. Students take tests at the end of each stage and are awarded certificates upon successful completion of the tests.
Individualised Study Plan: Prior to enrolment, each student takes a free assessment test to determine his or her current knowledge and skills. The results of the test provide the required information to customise an individual study plan. The student commences the programme at a comfortable starting point which may not necessarily reflect his or her school grade or age. This facilitates easy learning and bridges the gaps which may exist due to the lack of individual focus in the group teaching environment at school. This approach enables all students including remedial students to quickly progress to their school grade levels and beyond.
Daily Learning: The programme aims to instill the discipline of daily learning through a workbook at the Centre or at home. In addition to 50 minutes per week attendance at the Centre, the student is given daily homework of 10 to 30 minutes duration for non-Centre days. Experience shows that students who develop this daily learning habit and correct their mistakes on a daily basis maximise their progress and tend to become independent learners.
Learning from Mistakes: Answer books are provided to mark students’ work for accuracy. Students are expected to correct their mistakes without assistance at home or with assistance, where required, from the Centre staff. At the Centre, support is provided to promote ‘learning’ through clues, prompts or guiding questions.
It is strongly recommended that homework, marking and correction of mistakes are completed on the same day – this optimises the learning process and facilitates rapid progress.
Further practice is provided where a student has not mastered a particular topic. Excessive practice is avoided by intervention at an appropriate time.
Communication: Students and parents are given regular feedback verbally or through e-mail on the progress of the students. Newsletters and  Parent/Student Consultation Meetings address general and student-specific issues respectively.    

Centre Attendance: Students attend the Centre once a week for an agreed time slot of 50 minutes. The Centre days and times for each Centre are shown on the website. On average, there will be one staff member for every four students. In order to ensure the required level of support to the students, it is important that students adhere to their time slots. At the Centre, students exchange homework, resolve any queries, seek support for challenging questions and/or complete a test or a workbook.
Sickness and Emergencies: It is strongly recommended that students suffering from any sickness should not attend the Centre, in the interest of their own, as well as other students’, health. In such cases, homework may be picked up from the Centre. In the case of a student with a medical condition without any risk to staff or any other student, attendance is permitted without any liability on the part of the Centre. In case of any emergencies, including Total Fire Ban during summer months, the Centre will be closed and homework allocated for the relevant period. No fees are refundable in cases of sickness or emergencies.
Answer Books: It is expected that all homework will be marked by a responsible person (parent, guardian or the student  -  marking takes less than 5 minutes), and that the student will attempt to correct the mistakes. Answer Books are provided for this purpose. Parents and students are requested to read the guidance notes in the Answer Books. Where a student finds the work too challenging, support will be provided at the Centre.
Learning Record:  A Learning Record is kept at the Centre for each student. The Learning Record details performance of the student in terms of time and accuracy for each workbook, as well as conceptual understanding of the topics as assessed by the Centre staff. The Learning Record provides the assessment of student’s effort, progress and achievement level. It also serves as a basis for discussions during parent student consultations.



Ace Learning Centre is not a quick-fix. It is expected that there will be a commitment:

  • from the student to complete the allotted homework on a daily basis
  • from the parent/guardian to ensure that the work is marked daily
  • from the student to attempt to correct the mistakes daily.

The Centre staff will provide the required support without compromising the learning approach by providing clues, prompts or guidance to the student. This team approach ensures that a student remains motivated to progress towards and beyond school grade level in Maths and English. Over a medium term, typically six to twelve months, this team approach contributes significantly towards the improvement of student’s performance.  Over a longer term the student becomes an independent self-learner for secondary school, university and beyond.
Holidays: The Centre is closed on public holidays, for one week during the end of term school holidays and for three weeks during the summer vacation. At the end of each term, one week is reserved for Parent Student Consultations. However, students are allocated carefully planned homework to benefit from the additional time available during the holidays - this offers the best opportunity for consolidating, self-learning and progressing.

Team Effort Team Effort


Ace Learning is a team effort from the centre staff, from the parent and most importantly, from the student. The student will commence at a comfortable point in the programme. This is determined at the initial assessment - it is based on the student’s current level of skills and knowledge, irrespective of his/her age or school grade. However, with the team effort, we aim to progress the student beyond the school grade level with an individualized study plan which is monitored regularly. It is important that a student spends short time spans on Ace homework every day on a consistent basis – this approach achieves optimum progress. Students continue to receive home work during holidays - it is our view that learning should be considered a routine activity and not a chore to be relieved from during school holidays. Allowing a break from a short time span of homework perpetuates the view that academic work is a chore. This is not conducive to learning and achieving progress. Remember that 20 minutes represents less than 1.5% of time available in a day. Please ensure that there are no compromises on the effective use of this time.

Parent’s Role
As parents, you are obviously concerned about your child’s education. Perhaps one of the greatest challenges you will face is how to motivate your child with his or her studies.
In order for your child to want to do his/her homework, you as a parent must believe in the value and importance of homework.
Homework fosters independence and helps students to develop good study habits. It fosters the self-discipline required for success in academic studies. 
The following are a few simple suggestions, which may help you as a parent to play your crucial role effectively.

  • Never use homework as a punishment. It defeats the purpose entirely. When you remind your child to do the homework, do so gently but firmly.
  • The study area where your child works should be kept in order and the child provided with a comfortable chair and all the working materials.
  • Help your child establish a daily study routine. Plan how much time will be set aside for study each day. Your child’s input is important. Ensure that there are no distractions during the homework time and that the child is encouraged to focus on homework.
  • Never do your child’s homework. Do not automatically assume that your assistance is needed or wanted. Observe without interfering. Encourage independent learning and encourage your child to learn from his/her mistakes. Be patient with his or her progress.
  • Do not expect perfection. Accept the inevitable fact that students do make avoidable mistakes. Do not make any negative comments (e.g. “how could you make such a mistake”, or “you are never going to make it”). It is important to constructively address the issues with participation of the child.  Always encourage and praise whenever a genuine opportunity arises.  Be proud of his/her work.
  • It is strongly recommended that you mark your child’s work at home. This is a strong reflection of parent’s interest in child’s education. Your child will benefit from instant feedback. He/she needs to understand why something is wrong while the work is still fresh in his/her mind. Corrections, soon after the mistakes have been made, provide the best opportunity for smooth and efficient progress.
  • Maintain a long-term vision for your child. Some children may not yet understand the importance of long-term academic study. You must be able to provide guidance.  

We believe that the role of the parent in supporting their children is becoming more challenging in the rapidly changing environment. As Peter Senge of the MIT Sloan School of Management has said “You can't force commitment, what you can do... You nudge a little here, inspire a little there, and provide a role model. Your primary influence is the environment you create.

Role of the Centre staff

It is recognized that both the English and the Mathematics Programmes are challenging for the relevant school grade levels. It is also recognized that all students will require support despite a comfortable starting point and a smooth progression to higher stages. In order to ensure that the ‘required’ support is provided without significantly compromising the ‘learning’ approach, the ratio of one staff to four students is maintained. All staff are trained to provide support in line with Ace philosophy. As Mark Lepper of Stanford University has pointed out 'Expert tutors…….…. hang back letting the student manage as much as possible. And when things go awry, rather than help directly they raise questions: 'Could you explain this step again? How did you... ?'.  The staff at Ace Learning Centre are required to support the students by asking questions, giving hints or clues and guiding them to a solution rather than working through each step of the solution. The role of the Centre staff is also to bring any issues hindering progress of the student to the attention of the Centre Manager.
Proven Procedure

The following procedure summarises the team approach. This procedure has been proven to achieve optimum learning and progress. Please follow the steps described below to derive maximum benefit from Ace Learning Centre.




The student attempts his homework books in the order given after ensuring that the student has attempted ‘Supplementary Books’ or carefully studied ‘Learning Book’, where applicable. The student should attempt his/her homework without interruption and with focus and concentration. All the details on the first page (name, date, time commenced and time completed) should be entered.


The homework should be ‘marked’ as early as possible against the Answer Book with care so that all mistakes are identified. Mistakes should be shown clearly with a circle ‘O’, preferably with red ink, so  the student can easily see where the mistakes have been made.
(Please seek help from the Centre if you are not clear about the marking procedure.)


The student should attempt to ‘correct’ the mistakes.


All corrected mistakes should be marked with a tick inside the circle. All other mistakes, not corrected, should be left with the ‘O’.


On the first page please complete the boxes marked Mistakes Made and Time Taken. Please also circle one of the following responses at the bottom of the first page.

The student should bring all completed Supplementary and Homework books, uncompleted books and Learning Books to the Centre.

Centre Staff

Where there is a ‘No’ response, the Centre staff will primarily focus on these homework books and the relevant questions during Student’s Centre time.

The Centre staff will record details of performance of each homework book in the ‘Student Learning Record’. Workbooks are marked with ‘H’ on top left hand corner when details have been recorded in Student Learning Record and when the student has corrected all mistakes.
‘Student Learning Record’ enables the preparation of ‘Student Progress Report’ shown on the cover page and described in the next section.

Student Progress Reports Progress Report

The following is the August Progress Report of a Grade 4 student. The student had commenced the Maths Programme at two years below school grade level in August of the previous year. It took the student 3 months to settle into the ‘Ace programme’.

Light Blue Line is Ace’s challenging grade level line, three to six months ahead of school grade.  
Light Green Line (dotted) shows Ace Study Plan for the student to progressively bridge the
gap between student’s current level and the Light Blue Grade Line.
Dark Green Line  is student’s achievement from January (or Enrolment date, if later).
Student Progress Reports address three specific areas:

  • Effort: This is reflected in the number of homework books attempted by the student during the month. This is shown in light green (Maths) or yellow (English) bars in the Bar Charts. It is our expectation that students attempt at least 15 books and up to 45 books per month depending on their current status in relation to the school grade level.  Analysis of past data suggests that, on average, students at the Ace Learning Centre complete 20 homework books per month. It is expected that students working below their grade level will complete more than 20 books, whereas students working above their grade level may complete less than 20 books.


  • Progress: This is reflected in the number of homework books successfully completed by the student during the month. This is shown in dark green (Maths) or orange (English) bars in the Bar Charts. Successful completion is assessed using three criteria: the student’s understanding of the concepts, accuracy achieved (approximately 90%) and time taken to complete the homework. The completion time is not a critical criteria during the learning process. However, an unduly long time may suggest lack of student concentration or inefficiencies in the methods adopted. The criteria for successful completion of homework is intended to achieve the required focus and solid foundation. Accordingly, students at Ace Learning Centre complete about 7 homework books successfully out of an average of 20 completed per month. Students or parents should not be unduly concerned with this rate – it translates to completion of a stage (equivalent to a school grade) in 6 to 8 months. Students working beyond their grade level may take longer.
  • Achievement:  Ace Approximate Grade Line, ACE Study Plan for the student and the actual  level of Achievement of the student are given in the Line Graphs. The Line Graphs show:
  • ‘Ace’s approximate Grade Level’ in light blue
  • The projected ACE Study Plan in light green (This aims to bridge the gap between the student’s current level and the Approximate Grade Level. Ace students on the approximate Grade Level line are generally receiving school reports showing that they are 3 months to 1 year ahead in their studies).
  • The Student’s Achievement in dark green.          


Parent Student Consultations Parent Student

At the end of each school term, a student progress report described in the previous section is produced for each student who has been enrolled for at least three months at the Centre. Please do take time to study the Progress Reports. If the rate of progress is lower than expected, it is important to identify possible causes which could be lack of effort and/or weakness in the learning approach. Parent Student consultations focus on the Progress Reports to agree on the best strategies to move forward.     

At the end of each term, one of the two weeks of the holidays is reserved for Parent Student Consultation. During the last week of the school term, a schedule for Parent Student Consultations is available at the Centre Reception to enable parents to reserve a time slot of about 20 minutes for the consultation. The Parent Student Consultation is held at the Centre. It is attended by the parent, the student and Centre staff. 
The purpose of Parent Student Consultations is to ‘reflect’ on past performance of the student. This offers a much needed opportunity for the parent, student and the staff to have a meaningful discussion on realistic goals and strategies for the next term. Parent Student consultations assume a greater significance when the planned progress has not been achieved. Albert Einstein has succinctly stated: 'Insanity is doing the same things over and over again and expecting different results.' Parent student consultations are intended to address issues which hinder progress.

7.  Absence and Discontinuation Policy

Absence Policy:
We promote regular learning through home-work of short time span every day. We recommend that students continue with the programme throughout the year. In particular, school holidays present an ideal opportunity to achieve significant progress in absence of other commitments. Research from German Professor Siegfried Lehrl strongly encourages daily learning because an absence of study may mean that the student will resume work at a lower level. However, we appreciate that some parents or students may wish to take an absence from the programme. The business practice within the education sector is notice period of at least one school term. The Absence Policy at Ace Learning Centre requires a written notice at least five weeks in advance.
Tuition fees are payable for a complete calendar month and therefore absence can only be taken for a full calendar month. It is the policy of Ace Learning Centre that students may not take more than one month absence in a calendar year. The notice for Absence must be given in writing at least five weeks in advance  of the commencement of the month of absence.

During the month of absence, half of the monthly tuition fee is payable to cover the overheads and keep your place reserved.
An Absence Form available at the Reception must be filled in to apply for an Absence.

Discontinuation Policy:
Ace Learning Centre offers an individualised learning program, for remedial as well as extension students. The program enables every student to progress from his/her current level of skills and knowledge, irrespective of the student’s age or school grade. Individualised learning is an excellent complement to group teaching in the school environment. We are confident that our focus on learning and ‘learning from mistakes’ is invariably benefitting students when our procedures have been followed. We shall be happy to discuss how Ace Learning Centre can assist your child should your reason for discontinuation is program or Centre specific. However, we appreciate that some parents or students may wish to discontinue from the programme. The business practice within the education sector is notice period of at least one school term. The following policy requiring a written notice at least five weeks in advance applies for discontinuation at Ace Learning Centre.
Tuition fees are payable for a complete calendar month and therefore discontinuation can only be at the end of a calendar month.  The notice for Discontinuation must be given in writing in the month prior to the month of discontinuation.

A Discontinuation Form available at the Reception must be filled in to discontinue from the programme.

8.  Fees



Fee  Policy:
Ace Learning Centre aims to provide ‘affordable’ learning programmes. The current schedule of fees may be obtained from the website or from the Centre. The fees are reviewed each year in February or March. Fees are maintained at a low level at very competitive rates in comparison with other organisations providing after school programmes despite ACE’s comprehensive and distinct services. Parents are advised of the revised fees a month in advance of the date on which the revised fees become effective.
Enrolment Fee: There is an enrolment fee for registration and administration related to the enrolment. This fee is waived for enrolment of the second subject.
Monthly Tuition Fee: A monthly tuition fee per subject is payable in advance and no later than 15th of the preceding month. For a surcharge of 50% all English and Maths homework can be marked by the Centre staff. For students joining in the middle of the month, the tuition fee is pro-rated as shown below.

In addition to the Centre attendance and support at the Centre, the monthly tuition fee includes homework allocation, maintenance of detailed student records and, during the Centre closure days, individualised study planning, administrative work related to Progress Reports and Parent Student Consultations. In line with business practice within the education sector, tuition fee is payable whether or not a student attends the Centre. All fees are payable in advance by direct debit. Payments by direct debit are accepted from a bank account or VISA or Mastercard, without any additional fee to the parent. To avoid direct debits, parents have an option of paying termly fees by cheque or internet banking transfer to Ace Learning Centre prior to the commencement of the term. In case of discontinuation, the written notice is required as per policy with refund of any excess fee paid.   Please note that no cash payments are accepted.
